End-User Licence Agreement

This agreement governs use of RECF Reports, an internal application of the Robotics Education & Competition Foundation ("RECF"). By signing in to or otherwise using the application you agree to these terms. If you do not agree to them, do not use the application.

1. Who may use this application

RECF Reports is private, internal software. It is licensed for use only by RECF employees, contractors, and volunteers who have been granted access by an RECF administrator, and only for RECF business purposes. Access is granted individually and is not transferable. It may be withdrawn at any time, with or without notice, at RECF's discretion.

The application is not offered to the public, and no right to use it arises from having an account with any third-party service it connects to.

2. Licence

Subject to these terms, RECF grants you a limited, non-exclusive, non-transferable, revocable licence to access and use the application for the purposes described above. All rights not expressly granted are reserved.

3. What the application does

RECF Reports produces operational and financial reports about RECF events, teams and registrations, and it administers the Event Partner payout process — calculating amounts owed to Event Partners, producing the payment file used by RECF's accounting function, and recording what has been paid.

As part of that process the application connects to RECF's QuickBooks Online company in order to create cheque records for Event Partner payouts, to create vendor records where one does not already exist for a payee, and to read back the cheque numbers QuickBooks assigns. It acts on behalf of RECF as an organisation using a single connection authorised by an RECF administrator. It does not connect to any individual user's own accounting data, and it does not read or write QuickBooks data unrelated to Event Partner payouts.

4. Acceptable use

You agree that you will not:

  • share your credentials, or allow anyone else to use the application through your account;
  • access, extract or disclose data you do not need for your role, including personal data relating to participants, coaches, volunteers or Event Partners;
  • use exported reports for any purpose other than RECF business, or retain them longer than that purpose requires;
  • attempt to bypass access controls, authorisation checks or audit logging;
  • interfere with the operation or integrity of the application or the systems it connects to, including QuickBooks Online; or
  • copy, modify, decompile, reverse engineer or create derivative works from the application, except where that restriction is prohibited by law.

5. Financial operations

Features that record payouts, create cheques or mark payments as made have financial consequences. They are restricted to authorised finance and administrative personnel, and you agree to use them only within the authority you have actually been given. You are responsible for verifying a payment run before acting on it. RECF's accounting records, not this application's screens, are the authoritative record of what has been paid.

6. Data and privacy

The application processes RECF business data, including personal data relating to participants, volunteers and Event Partners, and financial data relating to registrations and payouts. It records who accessed administrative functions and who authorised financial actions, and those records are retained for audit purposes.

Personal data is handled in accordance with RECF's privacy policy. Nothing in this agreement limits any right you have under applicable data protection law.

7. Third-party services

The application integrates with services operated by third parties, including Microsoft Entra ID for sign-in and Intuit's QuickBooks Online for accounting. Your use of those services is governed by their own terms, and RECF is not responsible for their availability, accuracy or conduct. RECF is not affiliated with, endorsed by, or sponsored by Intuit Inc., and QuickBooks is a trademark of Intuit Inc.

8. Intellectual property

The application, its source code, design and content are owned by RECF or its licensors and are protected by intellectual property law. The RECF name and logo may not be used except as authorised by RECF in writing.

9. Availability

The application is provided for internal operational use and no service level is promised. RECF may modify, suspend, restrict or discontinue it, in whole or in part, at any time.

10. Disclaimer of warranties

The application is provided "as is" and "as available", without warranties of any kind, whether express, implied or statutory, including any implied warranty of merchantability, fitness for a particular purpose, accuracy or non-infringement, to the fullest extent permitted by law.

11. Limitation of liability

To the fullest extent permitted by law, RECF shall not be liable for any indirect, incidental, special, consequential or punitive damages, or for any loss of profits, revenue, data or goodwill, arising out of or in connection with use of the application, whether based in contract, tort or any other legal theory, even if advised of the possibility of such damages.

12. Termination

This licence terminates automatically when your authorisation to use the application ends, or immediately upon your breach of these terms. Sections 6 and 8 through 11 survive termination.

13. Changes to these terms

RECF may update this agreement from time to time. The revision date above indicates when it was last changed, and continued use of the application after a change constitutes acceptance of the revised terms.

14. Governing law

This agreement is governed by the laws of the State of Texas, United States, without regard to its conflict of law provisions.
